Front Desk/ Resources Coordinator

Description: As the first point of contact for Boca Helping Hands, the Front Desk/ Resource Coordinator is responsible for handling phone calls and in-person visits from walk-in clients, volunteers, donors, and community partners. The coordinator will train and oversee all front desk volunteers and ensure that they can answer incoming calls and transfer calls in a timely fashion to their intended destination. The Front Desk/Resources Coordinator will work with the Volunteer Program manager to provide full volunteer coverage for morning and afternoon shifts at the front desk. Other responsibilities include but are not limited to CRM data entry and reporting for healthcare vouchers, scheduling ESOL, job mentoring sessions and professional development classes as required. The Front Desk/Resources Coordinator will report to the Director of Career Development & Financial Assistance.

Responsibilities: Responsibilities and duties of the Front Desk/Resources Coordinator person include but are not limited to:


  • Provide information and direction on all BHH services and programs to prospective clients, in person and by phone.
  • Train and maintain full coverage schedule for front desk volunteers
  • Manage the Healthcare Voucher program by training outreach volunteers by location, ensuring log binders are placed in appropriate bins for use, and accurately recording and producing reporting for use by the Development team
  • Enter information on Job Training students into the CRM database and confirm attendance for all professional development programs (and Job Mentoring sessions)
  • Maintain and monitor the supply of inventory for the Front Desk & Resource Center and communicate to the Director of Administrative Services
  • Update flyers and video materials at Front Desk
  • Perform additional administrative duties as needed by the department



Qualifications:

  • Excellent Communication skills
  • Positive, upbeat personality
  • Detail oriented multi-tasker
  • Proficient with Outlook, Word & Excel – certifications preferred
  • Bilingual capabilities preferred but not necessary
  • Experience with data entry
